Terms of service
The agreement between your clinic and Dental OS when you use the service.
Last updated: 1 September 2026
1. The agreement
These terms are a contract between [Legal entity name], [registered address], India ("Dental OS", "we") and the organisation that creates an account ("the clinic", "you"). By signing up, or by using the service, you accept these terms on behalf of your clinic. If you are accepting for a company or partnership you confirm you are authorised to do so.
2. The service
Dental OS is web-based software for managing dental practices: appointments, patient records, clinical charting, billing, messaging and reports. We host and maintain it, and improve it over time; features may be added, changed or, with reasonable notice, withdrawn. Modules marked "coming soon" on our website are not part of the service until released.
3. Accounts and users
- You are responsible for everyone you invite and for keeping login credentials secret.
- Each user must have their own login; sharing logins is not permitted.
- The account owner may add, remove and change the permissions of users at any time.
- You must give accurate billing details, including your legal name and GSTIN where applicable.
4. Free trial and subscriptions
New clinics receive a 14-day free trial. No card is required for the trial. At the end of the trial the account becomes read-only until a paid plan is purchased. Paid plans are billed in advance, monthly or yearly, in Indian Rupees, plus GST at the applicable rate. Payments are processed by Razorpay; by paying you also agree to Razorpay's terms. A GST invoice is issued for every payment.
Plans renew automatically at the end of each billing period unless cancelled from Settings before the renewal date. Plan limits (clinic locations, users, patient records, modules) are as published on our pricing page at the time of purchase; we may change prices for future periods with at least 30 days' notice by email. Refunds are governed by our Refund policy.
5. Your data
You own the data you and your patients enter. You grant us the right to host, process and back it up solely to provide the service. You are responsible for the lawfulness of the data you collect, including obtaining any consent required from patients, and for the accuracy of clinical and billing entries. We handle personal data as described in our Privacy policy. You may request a full export of your data at any time and we will provide it in a standard machine-readable format; we will delete it after account closure as described there.
6. Acceptable use
You must not:
- use the service for any unlawful purpose or to store data you have no right to hold;
- attempt to access other clinics' data, probe or disrupt the service, or bypass usage limits;
- send unsolicited or unlawful messages to patients through the service;
- resell or sublicense the service, or copy it to build a competing product.
We may suspend accounts that breach these rules after notice, or immediately if the breach threatens the service or other customers.
7. Availability and support
We aim for 99.5% monthly availability excluding scheduled maintenance announced in advance, and take daily backups. Support is available by email and WhatsApp during the hours shown on our contact page. The service is provided "as is"; we do not guarantee it will be uninterrupted or error-free.
8. Professional responsibility
Dental OS is a record-keeping and administrative tool. It does not give clinical advice. Diagnosis, treatment decisions, prescriptions and compliance with the Dental Council of India and other regulations remain entirely the responsibility of the treating dentist and the clinic.
9. Liability
To the extent permitted by law, our total liability for any claim arising out of the service in any 12-month period is limited to the subscription fees you paid to us in that period. We are not liable for indirect or consequential loss, loss of profits, or loss of data that you could have kept a copy of by requesting an export. Nothing in these terms limits liability that cannot be limited by law.
10. Termination
You may close your account at any time from Settings or by writing to us. We may terminate these terms with 30 days' notice, or immediately for material breach or non-payment. Sections 5, 9, 11 and 12 survive termination.
11. Governing law
These terms are governed by the laws of India. Courts at [City, State] have exclusive jurisdiction, subject to any mandatory consumer-protection rights.
12. Contact and changes
Questions about these terms: suryakiran369499@gmail.com. We may update these terms; changes are effective 30 days after we post them here and notify account owners by email, unless required sooner by law.
